The Vrienden op de Fiets Foundation respects your privacy and is committed to the secure processing and handling of personal data. Vrienden op de Fiets acts in accordance with the Personal Data Protection Act and, from May 2018 onwards, the new AVG (General Data Protection Regulation).
To keep this privacy notice information as straightforward as possible, we opted to avoid unclear and unreadable legal provisions here.
About Vrienden op de Fiets
Vrienden op de Fiets is a non-profit organisation that aims to promote multiple-day biking and hiking trips. To that end, the foundation maintains a network of guest addresses that offer you a place to stay against a modest amount. “Vrienden”, or Friends of the foundation, can access this network upon paying an annual contribution. The listing of guest addresses is free.
What kind of information does Vrienden op de Fiets collect and process?
You need to create an account in order to make use of the (online) Vrienden op de Fiets platform. This makes you:
1. A member or Friend of the foundation. To send you your personal Friend card, give you online access and process the annual contribution, we require your name, address, IBAN and email address. In addition, we also ask you to agree to our rules.
2. You have registered as guest address. To publish your guest address in the yearly booklet and present it online, we require your name, address, email address and certain details about your guest accommodation (number of rooms, number of beds, is there a bicycle shelter present, etc.). Some of these data are mandatory so Friends do not encounter an empty field or unclear information about your guest address. In addition, we also ask you to agree to our rules.
With an eye to the costs of postage and environmental concerns, the foundation tries to communicate via email as much as possible - this is why we require you to provide us with your email address. We also register your telephone number so that we can contact you in the event of an emergency.
Mail and newsletters
Vrienden op de Fiets wishes to keep costs at a minimum for everyone to ensure that the platform remains accessible to all. We also strive to minimise environmental costs. This is why we try to limit paper-based mailings as much as possible. To ensure that our network functions well - and in future, even better - we do, however, need to communicate with our Friends. That is why you receive an email message with service communications and news to a maximum of three times a year. These messages do not contain commercial communications. If you do not wish to receive this information, you can unsubscribe from these messages via your profile page.
We send new guest addresses a welcome package per mail. Subsequently, you will circa twice a year receive an email from us. Please inform our help desk if you’d prefer not to receive paper-based or digital mail. You can find our contact details on our website and at the end of this notice.
What are cookies and how does Vrienden op de Fiets use them?
Cookies are small text files that a website can install on a visitor’s computer. In these files, information about the visit to the website is stored. Vrienden op de Fiets does not collect cookies, except for making use of Google Analytics. This software provides us with information about the number of people that visit the site and the pages they visit most (or least). We use this information to make our website more informative and user-friendly. Good to know: all IP addresses are anonymous and we do not share data with Google. This is why we do not need to ask for your consent to collect Cookies on our website.
For which purposes does Vrienden op de Fiets collect your personal data?
We collect and store your personal data only for the purpose of providing the services you request. Vrienden op de Fiets does not sell data: never and not to anyone. We also do not use your data for marketing services offered by third parties like, for instance, Facebook. There is only one exception to the above: those guest addresses that give their explicit consent will be visible as Point of Interest (POI) in the Fietsersbond Route Planner of our partner, the Dutch Cyclists' Union.
How does Vrienden op de Fiets protect your personal data?
Vrienden op de Fiets shall implement appropriate technical and organisational measures to protect your (personal) data from loss or any form of unlawful processing.
Our data bases cannot be accessed without the required login data. Passwords are mandatory, but Vrienden op de Fiets does not store your passwords. Our website is secured with a lock (HTTPS) so that unauthorized persons are not able to access the data. And our IT provider is ISO 27001.
We have brought in a Data Protection Officer to ensure that Vrienden op de Fiets will at all times be able to comply with the legal privacy requirements and is able to protect your data. The officer is on call as needed.
Who can access your data?
Nobody has access to your data, apart from Vrienden op de Fiets co-workers, organisations with whom we cooperate in the ICT domain, for our website and for the booklet mailing. Where necessary, we have signed a Data Processor Agreement with these third parties, laying down rules for the handling and protection of personal data.
Access, update, correct or remove your data
You are entitled to know which data Vrienden op de Fiets stores about you. You can check these data 24 hours a day by accessing your personal profile. Here you can also update your data at all times. Should you encounter problems updating your data, please contact the help desk; they will be able to help you within a few days.
You can close your account online yourself or contact the help desk for assistance. Subsequently, your personal data will be placed in a digital archive. We will archive these data for 14 months. Should you decide to avail yourself of our services again within this period of time, we will be able to simply re-activate your account again. After 14 months, we will only retain your Friend or registration number and your country. These data will only be used for statistic reasons.
Vrienden op de Fiets can share your data with third parties when laws or equivalent regulations necessitate us to do so, we are obliged to do so as a result of legal action and/or in the event that we deem it necessary for the protection of our own rights. In this case, we will inform you about this as soon as possible.
The Vrienden op de Fiets servers are located in Amsterdam; we do not transfer data outside the Netherlands.
To ensure that the information in this privacy notice is always up-to-date and complies with the applicable laws, Vrienden op de Fiets may at any time update its content.
